The role

Our Records and Formalities team play a crucial role in the efficiency within our organisation. We collaborate closely with our attorneys to provide support from first filings through to grant and registration for our Patents, Trademarks, Transactions and Dispute Resolution teams, ensuring legal documentation is always accurate and up to date.

What you’ll be doing

  • Opening new records on inprotech – G files, T files O files, R files and X files.
  • Closing cases on inprotech.
  • Preparing and filing on-line applications at the UKIPO, EUIPO, and WIPO and updating inprotech once filed.
  • Checking filing receipts/advertisements/registration certificate/standard reporting emails
  • Checking charges on case, preparing case narrative for invoices to be raised and sending to client.
  • Updating fee earner/partner on cases
  • Sending UK and EU watch notice notifications to partner on a weekly basis when required
  • Marking up inprotech when receiving original registration certificates, photocopying if required, saving to the case file, and ensuring certificates for specific Jon Day clients are put in the relevant folder.
  • Uploading documents and updating Anaqua records for Disney work carried out.
  • Requesting new owners from names team and ensuring our records are updated.

Additional responsibilities (as time permits/training is completed):

  • Filing documentation at UKIPO, EUIPO & WIPO
  • Adding take-over cases to our records
  • Dealing with some client queries
  • Generating reports for fee earners and partners

Skills and experience we’re looking for

  • Team player
  • Diligent and thorough
  • Ability to work on own initiative.
  • Good communication skills both written and spoken.
  • Ability to work to deadlines.
  • Smart appearance in keeping with professional environment.
  • GCSEs in English Language and Maths (grade C or above)
  • Good level of IT skills (Word, Outlook, Excel, Internet)
  • Experience of Inprotech (an advantage but not essential)
  • Previous experience in an IP firm/department (an advantage but not essential)
  • Familiarity with operation of office equipment (faxes, photocopiers, scanners)

The recruitment process

Applicants can expect a welcoming two-way interview process, where there will be plenty of opportunities to ask questions about the opportunity and to discover more about life at the firm.

Typically, there will be one stage consisting of the following: First stage interview with the Team Manager (Trade Marks) and the Senior Trade Marks Administrator. The interview session will include a short spelling and grammar test and a written exercise.

What we offer
