Your Team

The Records team is made up of a Records Team Manager, a Records Operations Manager, a Senior Records Coordinator, two Records Assistants and a Renewals Assistant. The team falls under the wider Client Services department.

Members are based in London and Bath and deal with a variety of responsibilities in order to facilitate the smooth-running of the Records function.

What You Will Do

As a Renewals Coordinator, you will be responsible for overseeing and managing the renewals processes, including maintaining the Renewals inbox, answering all renewal-related queries, and arranging renewals meetings. You will monitor the renewals diary list and liaise with our third-party renewals provider, regarding monthly reminders, renewal payments, mop-up reports, status updates, proprietor changes, and any discrepancies they bring to our attention.

Additionally, you will be responsible for monitoring global changes to renewal-related law, updating procedures and keeping the team informed.

In this role, you will also be responsible for sending monthly renewal reminders to clients, updating Inprotech with status changes and renewal payments, and managing the renewals ‘General’ files. You will handle one-off renewal payments, billing, and sending payment confirmations and produce reports on the same for the team. You will also perform the monthly conflict checking.

To be successful in this role, you will need to be comfortable working in a modern, fast-paced environment where you are given a level of autonomy to do your work. You will have a strong attention to detail, producing accurate work at all times, and be a good timekeeper with the ability to respond to urgent requests and organize your work to meet deadlines.

You will also have a willingness to act as a team player, with a positive, proactive, and flexible approach, and an interest in helping others and taking on new challenges.

In addition, you will have excellent IT skills, including a working knowledge of Microsoft Office and Inprotech, and excellent written and verbal communication skills. You will have the initiative and ability to act independently, and the ability to deal with a variety of people at different levels. You will be reliable and trustworthy, with a professional approach.
